Subject: Moving files from Teachers’ folders to the X_Holding Library
This memo is intended to instruct the teaching staff of the process to move files/documents from the Teachers’ Work Folders to the X_Holding Library.
Procedure
The implementation process for a new file going from the Teachers’ Work Folders to the production ECC Library environment requires a review to insure compliance. The process is initiated by the teacher copying a file from their work folder in the Teachers’ Work Folders to the appropriate folder in the X_Holding Library using an acceptable file naming convention. Upon approval the new document will be moved from the X_Holding Library to the production ECC LibraryThe ECC Library is an online repository of tests, quizzes, homework, supplements, and activities for all teachers to share and use.
Naming Conventions
Examples of acceptable naming conventions include the following:
Teacher Initials_Unit(X)_Test BF_Unit1_Test
Teacher Initials_Unit(X)_Homework BF_Unit1_Homework_A
BF_Unit1_Homework_B
Teacher Initials_Unit(X)_Activity BF_Unit1_Activity_A
BF_ Unit1_Activity_B
Teacher Initials_UnitX_Vocab BF_Unit1_Vocab_Homework
BF_Unit1_Vocab_Test
To make this successful everyone needs to be involved. I urge everyone to work as quickly as possible to move their work files over to the X_Holding Library. The quicker we do this the quicker we will see the benefits of these work practices. The goal is to standardize processes (testing, homework, supplements, activities), increase our efficiency and flexibility, reduce duplication and overlapping of work, and exploit our synergies. Also, I hope that this will give us a starting point to enable us to move forward to improve communication between teachers, partners, and management.
